Be in demand! Lawyers and legal specialists require experts in legal terminology and legal transcription. Comprehensive understanding of legal documents and office procedures are also a must.

Legal administrative assistants prepare legal documents, maintain records and files and conduct research to assist lawyers or other professionals. Notaries public administer oaths, take affidavits, sign legal documents and perform other activities according to the limitations of their appointment. Trademark agents advise clients on intellectual property matters. Legal assistants are employed by law firms, by record search companies and in legal departments throughout the public and private sectors.

The Legal Administrative Assistant Diploma program prepares students for the exciting and challenging world of the legal assistant. Graduates will have the knowledge and skills necessary to assist an Alberta lawyer in various practice areas,  such as civil litigation, criminal, family, real estate, corporate/commercial and wills/estates practice. Under a lawyer’s direction, Legal Administrative Assistants are responsible for office procedures with a focus on case/file management, time/financial management and client communication/record keeping in compliance with professional standards.

Highly qualified instructors will provide you with individualized training and many opportunities for one-on-one attention. The learning environment is practical and hands-on. It reflects a simulated version of a “real world” work environment.

Legal administrative assistants perform some or all of the following duties:

  • Prepare and key in correspondence and legal documents, such as deeds, wills, affidavits, and briefs, from handwritten copy, shorthand and machine dictation using computers
  • Review and proofread documents and correspondence to ensure compliance with legal procedures and grammatical usage
  • Schedule appointments, meetings, and conferences for the employer
  • Set up and maintain filing systems, utilizing knowledge of legal records and procedures and frequently controlling confidential materials and documents
  • Open and distribute regular and electronic incoming mail and other material and co-ordinate the flow of information internally and with other departments or organizations
  • Determine and establish office procedures and routines
  • May supervise and train other staff in procedures and in the use of current software
  • May attend court, meetings or conferences to take notes, minutes and dictation
  • May perform other general office work as required including preparing financial

Topics of Study

Corporate / Commercial Law

Corporate Commercial Law is going to teach the student how to incorporate under the Business Corporations Act of Alberta and the benefits and obligations attached to such a process.  Structuring different types of business organizations will be addressed as well as taking a close look at Limited Liability Partnerships and Share Purchase Agreements.  This course provides students with the skills to maintain minute books and attend to annual requirements as prescribed by the Government or as set forth in the Corporation’s constating documents.

Civil Litigation

This course introduces the student to the steps in the process of civil litigation in the Province of Ontario, with an examination of the entire process of a civil law suit from the commencement of proceedings to the end of the trial. The first stage of the detailed examination covers the commencement of proceedings to the close of pleadings, where the student focuses on the rules of procedure and on practical law clerk tasks such as opening files and drafting pleadings, motions and affidavits of service. In the next stage, the student examines procedural rules, proceedings, processes and documents from discovery through to trial in the Superior Court. The course also covers special procedures, including appeals, mandatory mediation, simplified procedures, the commercial list, and motor vehicle insurance claims.

Court Systems / Criminal

This course introduces students to criminal law and procedure covering the basic principles of criminal liability, including the statutory sources of criminal offences and the concept of burden of proof. Students learn about criminal offences that proceed by way of summary conviction to prepare paralegals for their increased role in criminal trial matters. Basic structure of the Criminal Code will be covered as well as a detailed analysis of police investigatory powers, Charter protections, various defences, the trial process, sentencing, and appeal rights and procedures.

Conveyancing

Conveyancing refers to the process of changing the ownership of real estate. In this module you will learn about the legal nature of ownership of land, the different ways in which land can be owned, and about various encumbrances against Title to land. You will learn the steps needed to convey Title to land from one party to another.

Family Law

This course introduces the student to the substantive and procedure law of separation and divorce, including discussions on dissolution of marriage, spousal and child support, custody and access, common-law relationships, and definition of spouse, property rights, and financial disclosure. The course examines matrimonial property rights, financial statements, procedure on a property claim, separation agreements, enforcement of orders, and variation and indexing of orders. In addition to learning substantive law and theory, students work on practical skills that law clerks require when working in a family law practice, including the preparation of relevant family law documents.

Machine Transcription / Communication

This “hands-on” course will improve the learning, studying, researching, writing, and listening skills of the student and allow then to become familiar with the various forms of communication required of legal administrative assistants. The students will become familiar with legal terminology and legal documentation and develop the ability to synthesize their skills and knowledge in order to accurately transcribe legal correspondence and documentation.

Legal Office Procedures

This course introduces students to the knowledge and skills required by a legal professional working in a legal office that relate to office management, practices and procedures. It begins with the roles and responsibilities of various professionals encountered in a legal setting. Then it explores the workings of the court system, time and financial management, organizational skills, communication skills, the production and processing of legal documents, and legal terminology and citation.

Will and Estates

This course is designed to assist legal professionals in understanding the areas in which an estate law practice is typically carried on. Students will learn the dual meaning of the word ‘estate’ as denoting the total property of a living or a deceased person: this course is concerned with both meanings.

Windows Level 1

This course covers the basic concepts and most commonly used features and functions of Windows 10. The course will walk you through performing basic operations such as opening applications, using Help and shutting down the computer. Additionally, you will learn to set up user accounts, create and use custom keyboard shortcuts, personalize and organize the working space, and use the Action Centre. The course will also provide you with a hands-on experience on how to connect, use and update devices, use File Explorer to manage files and folders, as well as navigate the internet using various browsers, including Internet Explorer and Microsoft Edge.

Internet Fundamentals

The Internet Fundamentals course explores the various components of the Internet using Microsoft Internet Explorer. Students are oriented to common procedures used to maximize successful use of the Internet and all its features. They learn how to customize the Internet Explorer browser, and examine the Web, e-mail, blogs, discussion groups, social media, chatting, multimedia and other web technologies.

Introduction to Keyboarding

The Introduction to Keyboarding course is designed for individuals who have no formal training in keyboarding. The objective is to teach students the skill of keyboarding – essential to the learning of other computer applications and workplace skills. The course begins with an overview of the basics of computer use. Students learn about the components of the computer and keyboard, as well as the seating, posture, and hand positioning necessary for efficient keyboarding.

Keyboard Skill Building Level 1

The Keyboard Skill Building Level 1 course is designed for individuals who have basic keyboard proficiency, and wish to increase speed and dexterity. Each lesson increases key recognition and builds confidence using the keyboard, while improving speed and accuracy. Speed achieved depends on personal dexterity and time spent on practice lessons. The Typing Trainer helps students learn and improve skills using a variety of methods: graphical keyboard drills, speed drills, alphabet drills, word, phrase and sentence drills, and keyboarding Self-Tests. Upon completion of this course, students are expected to keyboard at minimum 25 words per minute.

Keyboard Skill Building Level 2

The Keyboard Skill Building Level 2 course is designed for individuals proficient in keyboarding who wish to increase speed and dexterity. Students are introduced to Special Keys on the keyboard. Each lesson increases key recognition and builds confidence using the keyboard, while increasing speed and accuracy. Speed achieved depends on personal dexterity and time spent on practice lessons.

Business Math

The Business Math course is designed to introduce the basic mathematical skills needed to understand, analyse, and solve mathematical problems encountered in business and finance, and in investment decision making.  This course introduce students to helpful tools that will enable them to perform quick, easy, and accurate basic math functions such as addition, subtraction, multiplication, and division. They will also learn to round numbers, calculate percentages, fractions, and decimals, as well as calculate interest, payments on loans, net present values, and returns on investments. Finally, students will compare leasing and purchasing options, look at break-even points, explore statistical terminology, and calculate and display various statistics.

Microsoft Excel Level 1

In the Microsoft Excel Level 1 course, students learn to create and manage worksheets and workbook files; enter data and create basic formulas to perform calculations. They learn to edit and manipulate cell content, modify worksheet structure, view and format worksheets, and use Excel’s predefined functions. Students use the Find and Replace feature, use themes to format workbooks and practice preparing, previewing, and printing worksheets.

Microsoft Outlook Level 1

In the Microsoft Outlook Level 1 course, students will learn how to use both the e-mail program and the personal information manager components of Microsoft Outlook. The skills learned in this course will help students use Microsoft Outlook effectively both at work and in your personal life.

Microsoft Word Level 1

In Microsoft Word Level 1 course, students learn to create, navigate, and organize documents and use the help functions. They learn to edit and manipulate text, view and format documents, and use Word’s predefined functions. Students use the Find and Replace feature, use proofing and language tools, create, format and modify tables, work with hyperlinks and cross references, and learn how to preview and print a document.

Microsoft Word Level 2

The Microsoft Word Level 2 course teaches students intermediate- to advanced-level concepts and features of the Microsoft Word application. In this course, students learn to customize Word and build upon the basic skills learned in the Word Level 1 course. They learn how to increase their productivity and enhance their documents using some of Microsoft Word’s intermediate to advanced level features.

Job Search and Resume Writing

Job Search and Résumé Writing provides students with both traditional and innovative job-search techniques and résumé writing skills required to gain employment in today’s competitive marketplace. The course combines theoretical, how-to information with hands-on practical applications. Students are required to draw on their own experiences to identify work preferences, accomplishments, technical and transferable skills, and to research, organize, and analyze information; and to apply their knowledge in a series of job search preparation and implementation tasks.
